Administration

The Roads & Thirds Administration page will contain the settings available to the user. This includes setting assigning users for new requests/notifications, modifying addendum expiry dates, adjusting your company information and access to various reports. This guide will demonstrate how to navigate to and manage your administration settings.

Note: Users require the ‘Road Admin’ permissions to access the administration settings.

Administration Settings Overview

1. Create Request

The Create Request link will navigate to your company's external request page in the Public Request Portal. When accessing the link users will have to log into the Public Request Portal with a one-time code which will then direct them to your company's page to submit a request. This link can be shared with potential Grantee's and Requestor's as a quick link to their company's page or to submit requests on behalf of others.

2. IC Estimate Report

The IC Estimate option will generate a report of the estimated IC charges that may be applied since the last finalized billing batch. This is only an estimate based on spud dates, proposed construction dates, and any 48-Hour Notifications received (if applicable). This report can be utilized to flag potential upcoming construction dates that you may want to confirm with a Grantee or identify any potential missed IC for the billing period.

The report will be exported to a .csv file and will be available for download in the Job Manager option in the top right corner of StackDX site. A panel will display with all the jobs being performed. See the below instructions on accessing the report via the Job Manager.

Tip: The Job Manager will display a green icon when the job (ie. Export) has been completed.

Access Estimate IC Report via Job Manager
  1. Click on the Job Manager option in the top right corner of StackDX site.

  1. Click on the File/Link and the .csv file will be immediately downloaded by your browser and placed in a folder (ie. Downloads Folder) for you to access.

The Estimate IC Report will include the below addendum information.

3. Well Report

The Well Report option will generate a report of wells that exist on active addendums with their related information such as Proposed Construction Date, Last Spud Date, Rig Release Date, Production Dates, UWI, License Number, etc. This can be utilized to quickly verify which wells that are currently in your active addendums.

The report will be exported to a .xlsx file and will be available for download in the Job Manager option in the top right corner of StackDX site. A panel will display with all the jobs being performed. See the below instructions on accessing the report via the Job Manager.

Access Well Report via Job Manager
  1. Click on the Job Manager option in the top right corner of StackDX site.

  1. Click on the File/Link and the .xlsx file will be immediately downloaded by your browser and placed in a folder (ie. Downloads Folder) for you to access.

The Well Report will include the below well information.

4. Inactive User Report

The Inactive User Report option will generate a report with any inactive StackDX users from your company that are currently assigned to an addendum. This can be utilized to ensure that the addendums have only active users and identify any addendums that need to be re-assigned.

The report will be exported to a .xlsx file and will be available for download in the Job Manager option in the top right corner of StackDX site. A panel will display with all the jobs being performed. See the below instructions on accessing the report via the Job Manager.

Access Inactive User Report via Job Manager
  1. Click on the Job Manager option in the top right corner of StackDX site.

  1. Click on the File/Link and the .xlsx file will be immediately downloaded by your browser and placed in a folder (ie. Downloads Folder) for you to access.

The Inactive User Report will include the below user information.

5. Enable Rush Requests

Turning this on will allow requestors to apply a ‘Rush’ flag on requests. This will appear as a flag on the request to help your team prioritize and potential add extra billing if required.

6. Enable Upcoming IC Notification Email

This will send an email to the requestor to notify them of upcoming IC charges based on submitted construction dates.

7. Request Auto-Assignments

This section can be used to configure auto-assignment of new requests to a single person for Roads & Thirds requests. The assigned person will receive an email notification when new requests come in, and when the status changes on any request.

Note: All the users with 'Road Admin' permissions will be in the auto-assign dropdown.

8. Additional 48 Hour Notice Notification Emails

There will be a notification email sent to the Auto-Assign Roads or Thirds user when a 48-Hour Notification has been submitted. If you would like other users to also receive an email notification you can enter them in this field. Multiple emails can be entered separated by a semi-colon.

Note: It is required to have an auto-assign person selected in order for the emails entered in this field to receive email notification.

9. Default Agreement Expiry Dates

The default expiry date can be set to either Disabled, 12 Months or 24 Months after the effective date of an addendum. Select an option in this field for your Road Use and Third Party Agreements.

Note: The addendum expiry date can be modified by editing the date in the Addendum Info section of an addendum.

10. Field Reminder Emails

When enabled, a reminder email will be sent to the field approver if the specified number of days (1, 2, 5, 7, 10 or 15 days) have passed without their approval on a request. The reminder will only be sent one time and further reminders if necessary will have to done by reaching out the approver directly.

11. Grantor Details

The Grantor details listed are used to populate EnergyLink files and addendum templates when agreements are generated. This information includes Company Name, Address, GST Number, Grantor Rep details (ie. Name, Phone Number, Email) and Grantor Contact details (ie. Name, Title). Ensure this information is correct and up to date as it will impact what is included on your agreements.

Note: GST Number must contain 15 characters.
