Requests

The Requests Grid will display all the Road Use and Third Party Agreement Requests that have been submitted via the Public Request Portal. The grid can be filtered to easily find the addendum requests you are looking for which can be viewed in either Table View or Task View. This guide will demonstrate how to navigate to the Requests Grid and manage your requests in StackDX.

The Requests Grid can be viewed in either Table View or Task View.

Table View Overview

Table View will display the lists of requests in a traditional grid containing all the request information (ie. File #, Grantee Name, Status, Requestor Contact info, etc.). There is ability to sort by columns in ascending/descending order, adjust column widths, move column positions and hide/unhide columns.

Click on a File # to view the addendum request details.

Summary of the request details displayed in Table View:

  1. File # - The addendum number assigned to the request

  2. Grantee Name - The name of the Grantee Company that made the request

  3. Type - The type of request (Road Use or Third Party Agreement)

  4. Status - The current status of the request

There are 6 different statuses for requests - Access Granted, Awaiting Approval, Awaiting Signature, Completed, Rejected, Requested.

Note: The grid by default will only display 4 of the statuses (Access Granted, Awaiting Approval, Awaiting Signature, Requested). Completed and Rejected will be unchecked by default in the Search/Filter. This can be adjusted in the Status dropdown if necessary.

Summary of Request Statuses

Requested: Status given when the request is submitted via the Public Request Portal

Awaiting Approval: Status given when an Approver has been assigned to the request but awaiting approval/rejection

Access Granted: Status given when the assigned Approver has approved the request

Rejected: Status given when the request has been rejected

Note: If an Approver rejects a request it will NOT automatically change the status to Rejected. It will remain in its current status but will be flagged as rejected by the approver in both the Approvers section of the addendum and in the Requests page in Task View. If the request needs to be set to Rejected after reviewing the approvers decision they may do so by changing the status.

Awaiting Signature: Status given when a signature request has been sent out and is awaiting signature from the Grantee and/or Grantor

Completed: Status given when the agreement has been signed by both the Grantee and Grantor and has been executed. The addendum status when completed is set to Active.

  1. Date Requested - The date the request was submitted

  2. Status Date - The date the request was changed to its current status

  3. Proposed Construction Date - The date the activity in the request is expected to start

  4. Contact Name - The name of the requestor

  5. Contact Phone - The phone number of the requestor

  6. Contact Email - The email of the requestor

  7. Assigned To - The user that is currently assigned to the request in StackDX

Task View Overview

Task View will display the requests grouped by its current workflow status (ie. Requested, Awaiting Approval, Access Granted, Awaiting Signature, Completed or Rejected) in a Kanban style board sorted by Request Date in ascending order. As the request status changes it will move in board. The board will highlight certain requestor information (ie. File #, Grantee Name, Type, Requestor Name, Requested Date, Status). This view can be utilized to easily visualize and manage the requests as they move throughout the workflow process.

Click on a Request to view the addendum request details.

Note: The board by default will only display 4 of the statuses (Access Granted, Awaiting Approval, Awaiting Signature, Requested). Completed and Rejected will be unchecked by default in the Search/Filter. This can be adjusted in the Status dropdown if necessary.

Search/Filter Requests

In both Table View and Task View the requests can be filtered to help find the requests you are looking for (ie. Filter for only Road Use Agreements assigned to a specific user). Select the search/filter criteria and click Search to display the results. To clear the search/filters and return to the default click the X.

Summary of the Request Search/Filter options:

  1. Requests/Addendums Search - Enter keywords into the search bar to search for full or partial matches in the File #, Grantee Name, Requestor Info (Contact Name, Phone, Email), Assigned To Person fields.

  2. Types - Select the type of request (Road Use or Third Party Agreement)

  3. Assigned To Person - Select a specific user from the list to narrow the results to what requests they are currently an Assigned To, Approver or Notify Person for.

  4. Only Assigned to Me - Select this option to narrow the results to what requests you are currently an Assigned To, Approver or Notify Person for.

  5. Status - Select the current status of the request
