Upload via Email

This guide explains how to upload documents directly into StackDX via email.

Note: Users require the ‘Land Write’ role to use this feature and must be an existing user within your company.

Email Address for Upload

Each client has a specific email address for utilizing this feature. Your company’s email to use when forwarding into StackDX for filing will be the format below:  

<CompanyShortName>@inbound.stackdx.com 

To confirm the correct forwarding email address follow the steps below: 

  1. Log into StackDX 

  2. From the StackDX landing page navigate to the Support and Videos section 

  1. Download the Instructions for Land Documents document under the ‘Forward Emails to Stack for Filing’ section 

The document will contain the specific email address for your company. Copy/Paste the email address into either the To, CC or Bcc field in your message to begin uploading your documents via email. Users can efficiently upload the documents/email by adding the email address when replying to others.

Upload Format

Depending on your needs, you can either upload the complete email as a single correspondence document in .msg format and/or file the attachments individually.

See the email subject formatting below:  

  1. #LandFileNumber – Only the attachments from the email get filed 

  1. #!LandFileNumber – The complete email (including attachments) gets filed as one .msg document 

If you would like both the complete email and individual attachments uploaded you will have to add each format separately in the email subject with a space between them (ie. #!S00277 #S00277).

When formatting the Land File Number ensure that it matches the number exactly as in StackDX (including dashes or symbols). If you have a space in your land file number add brackets around the land file in the subject.

  • #(S 00277) or #!(S 00277)

Upload to Multiple Land Files

When uploading documents/emails to multiple Land Files, list all the land file numbers in the email subject with a space between them.

In the rare case where StackDX finds multiple possible matches, for example 0050123 is both a Land File Number and a Well Licence Number, you can add an indicator to let StackDX know what your value is. The following are accepted (alpha characters can be upper or lower case):

  • #Land(0050123) or #!Land(0050123)

  • #L(0050123) or #!L(0050123)

Note: This feature will upload ALL the documents attached to the email.

If there are images in the body of the email that are unrelated to the upload (ie. company logo in email signature) they will NOT be uploaded unless they are also present as an attached image on the email. This could occur when emails are forwarded between users.

Upload Notification Email

After uploading you will receive an email notification that will let you know whether the upload was successful or not and if there were any warnings/issues.

Note: Large email/attachments may fail to upload depending on its size as there is a maximum email size of 25MB when uploading via email.

Tip: To organize emails from StackDX, create an outlook rule to auto-delete or move successful emails into a separate folder.
