Addendum Documents

The Required Document(s) section will display any documents that you have either generated within StackDX or uploaded manually. This guide will show you how to upload and generate Addendum documents.

Manual Document Upload

In some cases the Addendum may have been handled outside of StackDX. These documents can be uploaded to the Addendum to be available in StackDX.

  1. Click on a Addendum from the Addendums Grid

  1. In the Required Document(s) section either click Choose Files and browse to your documents OR drag your documents to the Or Drop file(s) here box

Note: If you selected the incorrect files and do not want to upload it click Discard.

  1. In the panel on the right click Upload, Sync, Activate

The Upload, Sync, Activate option will display the document in the Required Document(s) section of the Addendum Details, sync the document with the associated land file and set the Addendum Status to Active.

Note: The manually uploaded document will NOT be available to the Requestor/Grantee to view/download in the Roads & Thirds Request Portal. Only documents that have been signed/accepted using StackDX will be available for the Requestor/Grantee in the Roads & Thirds Request Portal.

Generate Addendum Document

The Addendum document can be generated within StackDX using the uploaded template for your company. Utilizing this method of document creation allows the Grantor to send the document to the Requestor/Grantee for signature within StackDX and the signed document will be available to the Requestor/Grantee to view/download in the Roads & Thirds Request Portal.

  1. Click on a Addendum from the Addendums Grid

  1. In the Required Document(s) section click Generate

  1. Click Generate

Note: The Agreement, Effective & Expiry Dates will be updated when the Addendum document is generated if you have the Update Effective/Expiry Dates option checked ON when generated.

The Addendum document will be created and displayed in the Required Document(s) section. The generated PDF document can be viewed by either clicking on the file name or downloading the file.

Clicking the file name of the generated PDF document will display the document in the 'Edit Document' dialog where you can view and edit the document as needed prior to sending out for signature. Click Save to retain any changes.

Download Document as PDF for Word Document from Template

Alternatively, you can generate the Addendum document to a .pdf or .docx file directly without populating in the Required Document(s) section of the Addendum Details page. This method may be helpful if your company does not utilize the E-Signature module but are using the template in StackDX or if you are required to create the document and modify it manually afterwards.

In the Required Document(s) section of the Addendum Details page click the Download as: .pdf or .docx options.

The files will be exported to a .pdf or .docx file and will be available for download in the Job Manager option in the top right corner of StackDX site. A panel will display with all the jobs being performed.

Tip: The Job Manager will display a green icon when the job (ie. Export) has been completed.

Click on the File/Link and the .pdf or .docx file will be immediately downloaded by your browser and placed in a folder (ie. Downloads Folder) for you to access.

Download, Delete or Restore Addendum Document

Whether the document has been uploaded manually or generated within StackDX it can be downloaded, deleted or restored in the Required Document(s) section of the Addendum Details page.

Download Document

Click the Download option next to the document you would like to download. The document will be immediately downloaded by your browser and placed in a folder (ie. Downloads Folder) for you to access.

Delete Document

Click the Delete option next to the document you would like to delete. The document will be removed from the default view in the Required Document(s) section of the Addendum Details page.

Note: The deleted documents are soft deleted and can be viewed if you click the Show Deleted option.

Once a document has been sent for signature the Delete option will be disabled. If the document has been sent for signature and has not yet been signed/executed by the Grantor the signature request can be cancelled by the Grantor and then the document can be deleted.

If the Grantor has signed/executed the signature request then the document cannot be deleted. In situations when a new agreement is required, the Grantor will have the below options:

  1. Set the Addendum Status to 'Access Granted' and generate a new document. Then send that to the Requestor/Grantee for signature. You may also want to delete the previously signed document from the land file in StackDX.

  2. Create a new addendum, document, signature request for the new agreement and set the status on the previous addendum to 'Inactive'.

Restore Document

The deleted documents can be viewed and then restored if you click the Show Deleted option in the Required Document(s) section of the Addendum Details page.

  1. Click Show Deleted option to view the deleted documents

  1. Click Restore option

The documents will be restored and be displayed in the Required Document(s) section of the Addendum Details page.

Request Signature

When the Addendum document has been generated within StackDX there is the ability to send the document to the Requestor/Grantee for signature.

If the Addendum is currently in 'Access Granted' status the Request Signature option will appear next to the generated document in the Required Document(s) section of the Addendum Details page. See the steps below to request a signature for the Addendum.

  1. Click Request Signature option next to the agreement

  1. Enter recipient's email/comment and click Create Signature Request

Note: The requestor's email will be auto populated in the email address field. If this needs to be adjusted you can manually change the email. Comment is optional and if added will be displayed in the email notification sent to the signature recipient.

Note: If your company is using standalone agreements and does not have the signature request module enabled in StackDX, you will NOT have an option to send the Addendum document for signature.

The document signature request will be sent to the recipient's email. It will also be available for the recipient in the Roads & Thirds Request Portal. The recipient can then click the links provided in the email to view and sign the document.

Note: For E-Signature requests only requests that were sent to the email used to log into the Roads & Thirds Request Portal will be displayed. The email logged in will display in the top right corner of the portal.

When the signature is sent to the Requestor/Grantee the Addendum Status will be set to 'Awaiting Signature'. At that time also the generated document will be filed in the associated Land File in StackDX.

Requesting the document signature from the Requestor/Grantee will start the signature process.
