Land Folder Tags

In StackDX, there is the ability to add Land Folder Tags to land documents which can be a helpful tool for grouping the documents within a land file. While our system will categorize most documents automatically upon processing, there may be specific cases where you would like to group documents based on a certain criteria (ie. License or Land Package). The folder tags will allow the user to further organize the documents and easily search for the documents more efficiently in StackDX. This guide will show you how to apply and manage Land Folder Tags.

Note: Users require the ‘Land Write’ permissions to apply or remove Land Folder Tags. To manage the Global Land Folder Tags the user is required to have ‘Land Admin’ permissions.

Global Folder Tags are tags that have been added for your company. These are the tags that are available for the users to choose from when applying them to a document. Only users with ‘Land Admin’ permissions will be able to create, edit or delete these global folder tags. The below steps will show how to manage the folder tags.

Create Global Land Folder Tags

  1. Navigate to Admin > Stack Mapping > Land to StackDX

  1. Go to the Land Folder Tags tab and click Add

  1. Enter a Tag Name or optionally choose any specific Land File Types for the tag to be available for (ie. If only Surface is selected the tag will only be available for that Land File Type). Click Save.

Note: If NONE of the Land File Types are selected the folder tag will be available for ALL Land File Types.

The Land Folder Tag will be added to the grid displaying the tag information (Tag Name, Create/Updated Dates and Land File Types).

Edit Global Land Folder Tags

  1. Navigate to Admin > Stack Mapping > Land to StackDX

  1. Go to the Land Folder Tags tab and click the Edit option for a tag

  1. Edit the Tag Name or select/deselect Land File Types for the tag to be available for (ie. Select Forestry Land File Type). Click Save.

Note: When editing the Land File Types for a Folder Tag, it will not change or remove the Folder Tag from existing documents.

The Land Folder Tag will be displayed in the grid with the updated tag information (Tag Name, Create/Updated Dates and Land File Types).

Note: If the Tag Name is updated and currently applied to existing documents it will update the Tag Name for ALL the applied tags. The below dialog will appear after saving notifying the user how many folder tags will be updated.

Delete Global Land Folder Tags

  1. Navigate to Admin > Stack Mapping > Land to StackDX

  1. Go to the Land Folder Tags tab and click the Delete option for a tag

  1. Click Delete

The Land Folder Tag will be removed in the grid.

Note: If the land folder tag is currently applied to an existing document the tag will NOT be deleted from the documents if deleted from the Global Land Folder Tags.

Apply/Remove Land Folder Tags to Documents

Land Folder Tags can be applied to land documents in several ways. They can be added to individual or multiple documents at once. Alternatively, they can be chosen when uploading documents by internal and external users.

Apply/Remove Land Folder Tags to Single Document

  1. Navigate to a land document that you would like to add a folder tag for and click to view the document.

  1. Click the Edit option in the ‘Document Info’ panel.

  1. Select a Folder Tag from the Add dropdown and click Save.

Note: Tags displayed are Global Folder Tags that have been added to your company. If the Folder Tag you would like to add is not present, you can choose ‘Other’ and it will be added to the specific document only.

After applying a Land Folder Tag it will be displayed in the Title column of the document grid.

To remove a Land Folder Tag from a single document first navigate to the document and then click the Edit option in the ’Document Info’ panel.

Then click the X next to the tag you would like to remove. Click Save.

Apply/Remove Land Folder Tags to Multiple Documents

  1. From the Land Docs Grid select the document(s)

  1. Click Modify > Apply Tags

  1. Select a Folder Tag from the Add dropdown and click Apply

Note: Tags displayed are Global Folder Tags that have been added to your company. If the Folder Tag you would like to add is not present, you can choose ‘Other’ and it will be added to the specific document only.

After applying the Land Folder Tags they will be displayed in the Title column of the document grid.

Similarly, if there are multiple documents you would like to remove the Land Folder Tags from that can be done by following the same steps as for applying the Land Folder Tags but choosing the Remove Tags option in the Modify dropdown. This will remove the tags for all the selected documents.

Apply Land Folder Tags in Upload

  1. When viewing a land file click Upload. There will be the ability to choose a Land Folder Tag on the upload page.

  1. Select a Folder Tag from the Add dropdown and click Upload.

Note: Tags displayed are Global Folder Tags that have been added to your company. If the Folder Tag you would like to add is not present, you can choose ‘Other’ and it will be added to the specific document only.

After uploading the documents with the applied Land Folder Tag the documents will display the tag in the Title column of the document grid.

Apply Land Folder Tags in Shared Project Upload

Similarly, if a project is shared with an external company the users at the external company can select a Land Folder Tag when uploading documents to the project.

Note: Tags displayed are Global Folder Tags that have been added by the company who owns the project. If the Land Folder Tag the external user is looking for is not present they will have to contact the project owner company for it to be added. A user with ‘Land Admin’ permissions is required to add Global Folder Tags.

Search/Filter for Land Folder Tags

There is the ability to search/filter on the applied Land Folder Tags allowing the user to easily find the documents they are looking for. When viewing a land file there will be an option in the document search/filter panel to select applied Folder Tags.

In the Land Document Search/Filter panel click the Folder Tag field to display all the tags present for documents in that land file. Select a Land Folder Tag from the dropdown list. Alternatively, can select ‘No Folder Tag’ which will filter only for documents that do NOT have a Land Folder Tag applied.

Tip: If there are several Folder Tags applied in the land file, search within the Folder Tag dropdown to narrow down the selection.
