Addendum Details
Overview
The Addendums Grid will display all of the Addendums for the Grantee's that have made requests to your company. The grid will display the File # assigned to each Addendum along with basic details (Assigned To Person, Grantee Name, Agreement Type, Status, Surface Location, Description).
To view your company's Addendums navigate to the Addendums Grid and click on a request to view its details including Requestor Information, Agreement/Effective/Expiry Dates, Rates, Roads, Facilities, Wells, Additional Conditions and generated documents for that particular Addendum.
Navigate to Roads & Thirds Grids/Settings
Navigate to the Roads & Thirds Grid/Settings (ie. Additional Conditions, Master Rates, Master Agreements, Addendums, Requests, etc.) by clicking the Roads & Thirds dropdown menu at the top of the page. This will display all the Roads & Thirds related options.
Then click on an option to display its grids/settings.


Summary of the Addendum Details
When clicking on an addendum from the Addendum Grid all of the addendum details will be displayed. See the summary of each section below for more information.

Requestor Information
This is the information entered by the requestor when they submit a request via the Roads & Thirds Request Portal. This may be the contact information for the Grantee Company directly or the Broker Company depending on how they submit their Roads & Thirds requests.

Note: The requestor information cannot be modified directly by the users in StackDX. If you require any changes to the information please contact StackDX Support at [email protected].

File # - The assigned Addendum Number
Previous File # - The previously assigned Addendum Number if applicable. This will be automatically populated when re-issuing addendums.
Grantee File # - The file number assigned to the Grantee of the addendum
Addendum Status - The Status and Status Date/Time of the addendum
There are 7 different statuses for addendums - Access Granted, Active, Awaiting Approval, Awaiting Signature, Inactive, Rejected, Requested.
Summary of Addendum Statuses
Requested: Status given when the request is submitted via the Public Request Portal
Awaiting Approval: Status given when an Approver has been assigned to the request but awaiting approval/rejection
Access Granted: Status given when the assigned Approver has approved the request
Rejected: Status given when the request has been rejected
Note: If an Approver rejects a request it will NOT automatically change the status to Rejected. It will remain in its current status but will be flagged as rejected by the approver in both the Approvers section of the addendum and in the Requests page in Task View. If the request needs to be set to Rejected after reviewing the approvers decision they may do so by changing the status.


Awaiting Signature: Status given when a signature request has been sent out and is awaiting signature from the Grantee and/or Grantor
Active: Status given when the agreement has been signed by both the Grantee and Grantor and has been executed
Inactive: Status given when the addendum is no longer active
Agreement Date - The date the addendum was created. This date will be set as the date the Addendum was created by default.
Note: The Agreement Date will change when the Addendum document is generated if you have the Update Effective/Expiry Dates option checked ON when generated.

Effective Date - The date the addendum takes effect. This date will be set as the date the Addendum was created by default.

Expiry Date - The date the addendum will expire. This date will typically be set as 12 or 24 months after the Agreement/Effective Date.
Note: This can be manually entered by a user or set to automatically be set as 12 or 24 months by selecting an option in the Roads & Thirds Administration Settings. See Administration section for more details.

Termination Date - The date the addendum will be terminated. When set on or prior to the current date the addendum status will be set to Inactive. If date is set in the future then when that date is reached the addendum status will be set to Inactive at that time.
Bill Admin Date - The date that any admin fees were billed for the addendum. This will have to be manually populated by the user.
Proposed Construction Date - The proposed construction date entered by the Requestor/Grantee for the addendum
Surface Location (From/Pad) - The Surface Location (From/Pad) entered by the Requestor/Grantee for the addendum
Surface Location (To) - The Surface Location (To) entered by the Requestor/Grantee for the addendum
Description - The description entered by the Requestor/Grantee for the addendum
Purpose - The purpose chosen by the Requestor/Grantee for the addendum
Notes - Notes specific to the particular addendum. There is a maximum limit of 8000 characters for the notes.
The Addendum Information can be edited by the user in StackDX after the addendum has been requested.

Documents
Any documents uploaded by the Requestor/Grantee when submitting their request or by the Grantor will be listed. These documents are accessible when viewing the addendum in StackDX by the Grantor as well as by the Requestor/Grantee when viewing their request in the Roads & Thirds Request Portal.
Any Survey/Access Route documents present in the 'Documents' section of the addendum will automatically be included in the generated agreement documents (if configured in template).

There are different options to view and manage the documents. See the below options.

Document Type Edit
Change the document type (Survey/Access Route, Request Letter or Other)

View Documents
The PDF documents can be viewed by either clicking on the file name or downloading the file. Other file types (.msg, .eml, .docx, etc.) will have to be downloaded and viewed outside of StackDX.
Click the file name of the PDF document and it will display the document in the 'Edit Document' dialog where you can view and edit the document as needed. Click Save to retain any changes.

Note: There is currently a file size limitation to ~11-13MB when downloading the documents. Please contact StackDX Support at [email protected] if you are having issues downloading your documents.
Add Documents
The Grantor can add documents to the addendum as needed. This will add them to the addendum in StackDX and in the request in the Roads & Thirds Request Portal.

Select a Document Type from the dropdown (Survey/Access Route, Request Letter, Other)

Either click Choose Files and browse to your documents OR drag your documents to the Or Drop file(s) here box

Note: If you selected the incorrect files and do not want to upload it click Discard.

Click Upload
The uploaded document(s) will be added to the addendum in both StackDX for the Grantor and in the Roads & Thirds Request Portal for the Grantee/Requestor.
See Upload Additional Documents section for details to Requestor/Grantee uploading documents to the requests via the Roads & Thirds Request Portal.
Delete Documents
The Grantor can delete documents from the addendum as needed. This will remove them from the addendum in StackDX and in the request in the Roads & Thirds Request Portal.

Rates
Any rates that are being applied to a Road Use Agreement addendum will be listed. Rates can be added, modified and deleted if necessary.
The rates will be displayed as they are configured in the Master Rate Table. Rates that do NOT have ‘Explicit Fee’ setting selected in the rate table will automatically be applied and appear in the Rates section of the addendum after the request is submitted. Typically rates that would NOT have the 'Explicit Fee' setting applied would be Administrative and Well rates.
For Non-Well rates or other rates that have the 'Explicit Fee' setting applied in the rate table, they will be required to be added to the addendum manually after the request has been submitted.

There are different options to manage the rates for a Road Use Agreement addendum. See the below options.

Add Rate
To add a rate to the specific addendum click the Add Rate option. This will display the 'Add Rate' dialog where you can select the rate from the dropdown, adjust the rate amounts or add a description as necessary.

The default rates and amounts displayed will be as configured in the Master Rates Table.
Click Save
A rate can be applied to a specific asset only (well, facility, etc.) by selecting the asset in the Well dropdown. All the assets applied to the addendum will be listed. If the rate is to be applied to all assets on the addendum leave the field empty.

Edit Rate
To edit a rate that is displayed click the Edit option next to the rate. This will display the 'Edit Rate' dialog where you edit the rate, the amounts, specific assets or description as necessary.

Modify the rate information

The default rate amounts as configured in the Master Rates Table will be displayed.
Click Save
Any changes made to the Flat Rate, Per Unit Rate or Min Amount will only be applied to the specific addendum and will be displayed in BOLD in the Rates section of the addendum.

Delete Rate
To delete a rate that is displayed click the Delete option next to the rate. This will only delete the rate from the specific addendum.
Note: Only rates that do have the 'Explicit Fee' setting selected in the rate table will be able to be deleted. Rates where the 'Explicit Fee' setting is not selected the delete icon will be disabled as they cannot be deleted from the addendum.
For the rates that are unable to be deleted if you did not want them applied to the addendum you must override the rate amount by editing the rate to be $0.00.
Road Specific Rates
There may be addendums where a Road Asset is selected that has specific Rate Table applied it. These specific rate tables are added when creating/editing Road Assets.

In these situations there will be an additional section added to the Addendum Details page. The rates present in the Road Specific Rates section will be applied to the addendum.

Any rate amounts that are different from the Master Rate Table will be displayed in BOLD in the Road Specific Rates section of the addendum.
Roads
All the roads applied to a Road Use Agreement addendum either added by the Requestor/Grantee when submitting the request or added by the Grantor will be listed in the Roads section of the Addendum Details.

Summary of the Roads Details

Name - The name of the Road Asset. This name will typically be the Lessor Name/Number that is present in your land management system (ie. CS Land, LandRite) for Crown/Disposition Segments. For Freehold Segments the name will always be 'Freehold'.
Type - The type of Road Asset (ie. Road, Bridge or Trunk Road)
Segment Length (km) - The length of road being requested in Road Use Agreement
Location - The location the activity will be expected as entered by the Requestor/Grantee for Freehold Segments. This can be manually changed by Grantor if needed.
File Number - The land file number from your land management system (ie. CS Land, LandRite) associated with the road segment. For Crown/Disposition Segments this will be auto-populated but for any Freehold Segments the file number will need to be added manually.
Note: The land file number is required to link to the correct Cost Centre when creating billing batches.
Area - The area for the associated land file from your land management system (ie. CS Land, LandRite)
Land System - Link to the land file in StackDX to view land data from your land management system (ie. CS Land, LandRite)
There are different options to manage the roads for a Road Use Agreement addendum. See the below options.

Add Road Asset
To add a road to the specific addendum click the Add Road option. This will display the 'Add Road' dialog where you can search and select the Crown/Disposition Segment from the Road dropdown or enter a surface location for a Freehold Segment.
All the items displayed in the Roads dropdown will be the road assets present in the Road Assets Grid. If a Road Asset has the 'Hidden From Public' option applied it will NOT be included in the dropdown.

Select either 'Crown/Disposition Segment' or 'Freehold Segment'

Search and Select a Crown/Disposition Segment OR enter Location for Freehold Segment


Enter Segment Length (required) and Description (optional)
Click Save
Note: If you do NOT want to charge for a certain road select the No Fee Road option when adding or editing the road. The Rates will still be present in the addendum.

When No Fee Road option is ON there will be an icon next to the Road Name.

Add Linked Bridge
In the Road Assets Grid, Bridges can be added and linked to related Road Dispositions. If a road that has a Bridge linked is added to an addendum there will be an option displayed to easily add the Bridge to the Roads section of the Addendum Details. This can be an quick alternative to using the Add Road option or if you would like to add a Bridge that is set as 'Hidden From Public' in the Road Assets Grid.

The Bridge will be added to the Roads section of the Addendum Details with a default Segment Length of 1.0 km. This can be manually edited after adding the Bridge if necessary.

Edit Road
To edit a road that is displayed click the Edit option next to the road. This will display the 'Edit Road' dialog where you edit the road, location, segment length or description as necessary.
Delete Road
To delete a road that is displayed click the Delete option next to the road. This will only delete the road from the specific addendum.
Linked Surface File Number
Crown/Disposition Segments:
When a Crown/Disposition Segment is added to an addendum a Surface File Number/Land System Info will automatically be displayed in the Roads section of the Addendum Details if a surface file is linked with the road in the Road Assets Grid.


Freehold Segments:
When a Freehold Segment is added to an addendum the Surface File Number/Land System Info will initially be blank in the Roads section of the Addendum Details.
A surface file can be linked to the road by clicking the 'magnifying glass' icon next to the Location. The 'Lookup Surface File' dialog will appear displaying all the available surface files from your land system at that location that you can link to the Freehold Road Segment.

Note: The list will automatically be filtered for Surface & Easement land file types at the location specified for the road. The search can be modified to display other results if necessary.
Click Save
After linking the Surface File with the Freehold Road Segment it will then display in the Roads section of the Addendum Details.

View in Maps
If a road has a Surface File/Land File Info linked with it you can quickly view the Surface Disposition in StackDX Maps. This can be used to confirm the road and location by viewing it on the map.
Click the View in Maps option under the Road Name.

StackDX Maps will open in another tab with the Surface Disposition (ie. LOC 050910, MSL 061864, etc.) selected and highlighted on the map.

Wells
All the wells applied to a Road Use Agreement addendum either added by the Requestor/Grantee when submitting the request or added by the Grantor will be listed in the Wells section of the Addendum Details.

Summary of the Well Details

Well Name - The name of the well. The Name for Type = Well will be the UWI (DLS or NTS) while the Name for Type = Not Well can be any text input (ie. Facility Name, Pipeline Name, etc.).
Well Type - The type of well (ie. Well or Not Well). This setting will affect the rates displayed on the addendum and referenced in the Master Rate Tables (either Well or Not Well).
TiedIn - Displays if the well is 'TiedIn' or not. If the well is 'TiedIn' it means the well is connected via pipelines to other facilities (ie. Gathering Systems, Processing Facilities, Storage Systems, etc.).
Note: All wells are defaulted to 'TiedIn=Yes' and must be manually changed to 'TiedIn=No' (Trucked) if required. This setting will affect the rates displayed on the addendum and referenced in the Master Rate Tables (either Piped or Trucked rates).
Status - The status of the well (Active or Inactive)
Licence - The Licence Number for the well.
Note: The Licence Number must be populated for there to be a connection to the regulator data from Stack Maps. Only Type=Well will have a connection with the regulatory data.
Bill IC Date - The date the Initial Consideration was billed for the well.
When ‘Default’ is selected the IC will be billed for a well based on its Spud Date. For non wells the IC will be billed based on the Proposed Construction Date for the addendum.
Last Billed IC Date - The date the Initial Consideration was last billed for the well. This setting ensures that IC will not be billed again after this date.
Last Bill Maintenance Date - The date the Maintenance was last billed for the well. This setting ensures maintenance will not be billed multiple times for a given month.
For wells maintenance will start being billed the month after spud date. For non wells the maintenance will start being billed the month after the Proposed Construction Date of the addendum.
There are different options to manage the wells for a Road Use Agreement addendum. See the below options.

Add Well
To add a well to the specific addendum click the Add Well option. This will display the 'Add Well' dialog where you can enter the details of the well.
Edit Well
To edit a well that is displayed click the Edit option next to the well. This will display the 'Edit Well' dialog where you edit the all the available information for the well.
Delete Well
To delete a well that is displayed click the Delete option next to the well. This will only delete the well from the specific addendum.
Copy UWI
To copy a UWI to paste in other location (ie. StackDX Wells, Maps, Comment, etc.) click the Copy option next to the UWI.

View in Maps
You can quickly view the well in StackDX Maps. This can be used to confirm the well, location, nearby pipelines, etc. by viewing it on the map.
Click the View in Maps option under the Well Name.

StackDX Maps will open in another tab with the well (ie. 100/05-35-064-24W5/00) selected and highlighted on the map.

Facilities
All the facilities applied to a Third Party Agreement addendum either added by the Requestor/Grantee when submitting the request or added by the Grantor will be listed in the Facilities section of the Addendum Details.

Summary of the Facilities Details

Grantee Facility Type - The type of facility that will cross/encroach/be in proximity to Grantor's Facility
Request Type - The type of request chosen by the Requestor/Grantee when submitting the request. This can be manually changed by Grantor if needed.
There are 5 different Request Types: Crossing, Encroachment, Drill 100m, 30M Ground Disturbance Notification, 5M Ground Disturbance Consent.
Grantor Facility Type - The type of facility that will be crossed/encroached/be in proximity by Grantee's Facility
Name - The name of the Grantor's Facility. This name will be the chosen Facility/Disposition Name that is present in your land management system (ie. CS Land, LandRite) for Crown/Dispositions or an entered description of facility for Freehold.
File Number - The land file number for the Crown/Disposition from your land management system (ie. CS Land, LandRite). For Crown/Disposition this will be auto-populated but for any Freehold Facilities the file number will need to be added manually.
Area - The area for the land file from your land management system (ie. CS Land, LandRite)
Land System - Link to the land file in StackDX to view land data from your land management system (ie. CS Land, LandRite)
Location - The location the activity will be expected as entered by the Requestor/Grantee. This can be manually changed by Grantor if needed.
There are different options to manage the facilities for a Third Party Agreement addendum. See the below options.

Add Facility
To add a facility to the specific addendum click the Add Facility option. This will display the 'Add Facility' dialog where you can enter the details of the facility.

Select either 'Crown/Disposition' or 'Freehold'

Enter the facility details (ie. Grantee/Grantor Facility Type, Request Type, Facility/Disposition, Location)
For 'Crown/Disposition' search/select a Grantor Facility/Disposition that exists in the land management system (ie. CS Land, LandRite)

For 'Freehold' enter description of Grantor Facility/Disposition. This description will be used for the Grantor's Facility Name.

Note: If Pipeline is chosen for Grantor Facility Type the Licence/Line Number will be required. Click the Not Constructed option if the chosen pipeline does not have a Licence/Line Number at the time.

To edit a facility that is displayed click the Edit option next to the facility. This will display the 'Edit Facility' dialog where you edit the all the available information for the facility.

The Request Type can be changed directly on the grid as a quicker alternative to clicking the Edit option.

Linked Surface File Number
Crown/Disposition Facilities:
When a Crown/Disposition Facility is added to an addendum the associated Surface File Number/Land System Info will automatically be displayed in the Facilities section of the Addendum Details. The Crown/Disposition Facility will be associated with the Lessor Name/Number information for the Surface File Number in the land management system (ie. CS Land, LandRite).


Freehold Facilities:
When a Freehold Facility is added to an addendum the Surface File Number/Land System Info will initially be blank in the Facilities section of the Addendum Details.
A surface file can be linked to the facility by clicking the 'magnifying glass' icon next to the Location. The 'Lookup Surface File' dialog will appear displaying all the available surface files from your land system at that location that you can link to the Freehold Facility/Disposition.

StackDX Maps will open in another tab with the facility/disposition (ie. PIL 050104) selected and highlighted on the map.

Additional Conditions
All the additional conditions applied to the Road Use or Third Party Agreement addendum added by the Grantor will be listed in the Additional Conditions section of the Addendum Details. The conditions that are set to be auto applied via the settings in the Additional Conditions Grid will be automatically applied when being submitted by the Requestor/Grantee. The Grantor will have the ability to add or remove additional conditions if necessary.

Add Additional Conditions
To add additional conditions that are present in the Additional Conditions Grid that are not set to be auto applied click the 'Choose standard condition...' dropdown. Select an additional condition and click Add Standard Condition to add to the addendum. The conditions will display in the order outlined in the Additional Conditions Grid.

The Additional Condition will be added to the list in the order that is specified in the Additional Conditions Grid.

In situations where an additional condition needs to be applied but it is not set up in the Additional Conditions Grid you can add a condition to be applied to the specific addendum. Too add the additional condition type in the text box and click Update Conditions.

Delete Additional Conditions
To delete additional conditions that are present in the Additional Conditions section of the Addendum Details click the Delete option next to the condition you would like to be removed.
Note: When an agreement is generated all the conditions present in the Additional Condition section of the Addendum Details will be included in the agreement.

If you require to adjust the additional conditions after the agreement has been generated, you will have to adjust the conditions for the addendum and then re-generate the agreement to reflect the changes.
Assigned To, Approvers, Notify Users
The company users that are either assigned to handle the addendum request, selected as an approver or are only to be notified about the addendum are chosen and displayed in these sections. Each individual assigned to these fields will be notified via email and may be required to perform further actions (ie. Approve/Reject the request).

Assigned To
The Assigned To user will typically be the person that is managing the Road Use or Third Party addendum request. Only one person can be assigned to an addendum. This person can be added manually to the addendum after it is submitted or may be automatically assigned to the addendum upon it being submitted as per the Request Auto-Assignments settings in the Administration page. See Administration section for more details.
Note: All the users with 'Road Admin' permissions will be in the Assigned To dropdown.

Click Update

The Assigned To user chosen will be sent an email notifying them that they have been assigned to the addendum request. They will also receive emails as the request status is updated. All the actions that will send an email to the Assigned To User are listed below:
When user is assigned to the Roads or Thirds Addendum
When Approver has rejected the approval of the request
When Approver has approved the request and status is changed to 'Access Granted'
When Requestor adds any comments on a request via the Roads & Thirds Request Portal
Note: Depending on the users responsibilities they may receive more email notifications. For example, if they also send the signature requests for the generated agreements then they will receive email notifications pertaining to the those signature requests.
Approvers
The field approvers for the addendum request can be assigned in this section. This users responsibility will typically be to review and either approve or reject the request. The Assigned To User will be notified of their decision via an email notification. Multiple field approvers can be assigned to an addendum.
Note: All the users with 'Road Write' and 'Road Admin' permissions will be in the Approvers dropdown.
Add Approver to Addendum
Navigate to the 'Approvers' section of the addendum

Click dropdown and select user

Click Assign Approver

The Approver user will be added. The status of their review will be displayed next to their name (ie. Assigned, Approved or Rejected).

After the approver has been assigned to the addendum they will receive an email notifying them that they have been assigned to the addendum request.
To review the request they can either navigate to the addendum number within StackDX or use the link provided in the email notification to go directly to the request. From there they can add any comments, approve or reject the request. The status and any comments will be updated in the addendum.
Approve/Reject the Request
Navigate to the assigned addendum
Add Comments (optional) and either click Approve Request or Reject Request

The Status and any comments will be updated and displayed in the Approvers section of the Addendum Details.


If the request it approved the addendum status will be updated to 'Access Granted'. If the request is rejected the addendum status will NOT change automatically but the Assigned To Person will be notified of the decision and can review the request for next steps required.
Assigning Multiple Approvers
When multiple field approvers are assigned to the addendum request there is an option to require all assigned approvers to approve the request before the addendum moves to 'Access Granted' status.
After assigning the field approvers select the All Approvers Require Sign Off option. This will ensure that all the field approvers will be able to either approve or reject the request.

If the All Approvers Require Sign Off option is NOT selected with multiple field approvers assigned then the request will be approved and addendum status will change to 'Access Granted' after the first field approver approves the request. At that point the other assigned field approvers will NOT be able to either approve or reject the request.
Note: The All Approvers Require Sign Off option can be set to be selected by default for your company by a StackDX Administrator. Please contact [email protected] if you would like this setting to be applied to your company.
Delete Approvers
If you require to delete an assigned field approver you can click the Delete option when the addendum status is either 'Requested' or 'Awaiting Approval'. All other addendum statuses the approvers cannot be added or deleted.

Notify Users
If there are users that you would like to notify but may not have any direct actions to perform on an addendum you can add these users in this section. This is typically used to keep others informed of activities without requiring any action from them (ie. Approving Request). The Notify Users will have the ability to view the addendum details but may not have any further abilities depending on their StackDX permissions. Multiple Notify Users can be assigned to an addendum.
Note: All the users with 'Road Read' permissions will be in the Notify Users dropdown.

The Notify User will be displayed.

After the Notify User has been added to the addendum they will receive an email notifying them of the addendum request. They will only receive one email when they are initially added and will NOT be mentioned on any generated agreement.
Delete Notify Users
If you require to delete a Notify User you can click the Delete option in any addendum status. Notify Users can be added or deleted regardless of addendum status (ie. Requested, Access Granted, Active, etc.)

Field Contacts
The field contacts for the addendum request can be assigned in this section. There is an option to add both a Primary and Secondary field contact. The contact information for the chosen Field Contacts will be populated on any generated agreements (if template is configured to display the field contact information).
The Primary Field Contact will default to the 'Default Field Rep', this contact can be configured in the Field Reps Grid. While the Secondary Field Contact will default to be 'None' selected. The contact can be changed by clicking the dropdown and selecting a Field Contact from the list.
All the contacts that appear in the dropdown list will be the contacts present in the Field Reps Grid. See the Field Reps section for more details.
The Field Contacts will NOT be notified that they they are being added to the addendum.

Note: If you require any field contact information to be adjusted for a contact this can be performed by any users with 'Road Admin' permissions.
Add Field Contact to Addendum
Navigate to the 'Field Contacts' section of the addendum

Click Primary or Secondary dropdown and select user

Click Update

The Field Contact will be added. The information for the chosen contact will be displayed in any generated agreements.


Required Document(s)
This section will display all the uploaded or generated documents and their statuses for the Addendum. From here you will send and manage the document signature requests. See Addendum Documents section for more details.
